Qmarkets provides a comprehensive set of out-of-the-box KPIs (Key Performance Indicators) that are automatically created for each subsystem. These KPIs help you track and measure various aspects of your innovation management activities, performance, efficiency, ROI and more


AI KPIs are automatically filtered based on the current tenant and campaign context.


Activity KPIs

These KPIs track the core activities happening in your system:

Ideas/Entities
All submitted entities (the name reflects your subsystem's entity type, e.g., Ideas, companies, Improvements)
Comments
All submitted comments, including replies and confidential comments
Votes
Total number of community votes
Campaigns
All temporary campaigns (excluding draft campaigns)
Feature KPIs
For each enabled feature, three KPIs are created: # Total entities, # Closed entities, and # Open entities (e.g., # Tasks, # Open Tasks, # Closed Tasks)


Engagement KPIs

These KPIs measure how users are participating in your system:

Unique users who have submitted at least one idea or entity
Commenters
Unique users who have submitted at least one comment
Voters
Unique users who have voted at least once
Engaged Users
Total unique users who have performed at least one of the above activities (submitted, commented, or voted)
% Submitters
Percentage of submitting users out of all active users
% Commenters
Percentage of commenting users out of all active users
% Voters
Percentage of voting users out of all active users


Efficiency KPIs

These KPIs help you identify bottlenecks and measure workflow performance. There are 2 efficiency KPIs are created for each of the workflow states:

Description
Current Time in Each State
Average time that entities currently in the state have been there. Calculated from when the entity entered the state until now. Shows 0 if no entities are currently in the state.
Average Time in Each State
Average time all entities have spent in each state. Calculated from when the entity entered the state until it moved to another state. Excludes entities still in the state.


Controlling/ROI KPIs 

For each numeric field defined in your workflow, two KPIs are automatically created:

Sum of all values entered in the numeric field across all ideas/entities
Average  <Field Name>
Total values divided by the number of ideas/entities that have values in the field


Workflow/Funnel KPIs

These KPIs track how entities move through your workflow:

Entities Entering State Group
Number of entities that have entered each state group (e.g., ideas entering submission, evaluation, implementation)


Users/Access KPIs

These KPIs measure user access and engagement with your system:

Invited Users
All current active users who have access to the subsystem. This KPI is not affected by time filters.
Unique Visitors
Unique users who have visited the system (each user counted once)
Visits
Number of times users have visited the site. Users can be counted multiple times, but no more than once per hour.
New UsersHow many users have been added by either self-registering/added via one of the user provisioning methods.
This KPI is mostly relevant to systems in which users register, added gradually or via JIT (JUst-in-Time).


AI Related KPIs

These KPIs track AI feature usage across your system:

AI Executions
Total number of times AI features were used (each image generation is counted once)
AI Unique Executers
Number of unique users who have used AI features
Ideas in Which AI Was Used
Number of unique ideas/entities where AI features were utilized
Tokens Input
Number of input tokens consumed by AI features. Can be calculated as Sum or Average.
Tokens Output
Number of output tokens generated by AI features. Can be calculated as Sum or Average.


Creating Custom KPIs

In addition to the out-of-the-box KPIs listed above, you can create your own custom KPIs to track metrics specific to your organization's needs. Custom KPIs can be configured through the Self Admin settings as explained in this article.


The following KPIs can be created with no cost per request,
If relevant, please open a support ticket for adding them

  • # entities in a specific state(s)/state group(s)

  • # entities with a specific value in category X
    For example: ideas that have been marked as High Risk
  • # entities with more than X feature entitles of feature Y
    For example: ideas that have been adopted more than 3 times
  • Average time in average for moving from state X to state Y
    For example: # days from submition until decision (i.e. approval OR rejecten)


Personal KPIs

Personal KPIs allow you to create reports that are automatically filtered based on the user viewing the report.
This is useful for creating role-specific or user-specific dashboards, such as showing project managers only the ideas they manage, or displaying data relevant to a user's country or department.

There is no need to create dedicated KPIs for this.

When creating a report with the Personal scope, the following KPI types are available:

All KPIs related to ideas/entities, filtered by the current user's role, authorship, or profile field
Workflow Transition KPIs
All KPIs tracking workflow state transitions, filtered according to the node the transition refers to
Computed/Combo KPIs
Combined KPIs that include only Node or Workflow Transition KPIs


Note: Comment, Vote, User, and AI KPIs are not available for Personal scope reports.
