Understanding how long each idea spends in each workflow state is essential for evaluating efficiency and pinpointing potential bottlenecks.
This can be easily achieved by creating reports to track how much time ideas/companies etc. spend in specific states along the workflow.
Efficiency can be tracked per idea, or per a group of ideas (per the idea's categories, author's information campaign, etc.).
When looking at more than 1 idea, the KPI will the display average time across all ideas.
Follow these steps to create a report that effectively tracks these metrics:
- Access the Report Creation Section

- Define Key Performance Indicators (KPIs)
Select the KPIs that align with your analysis needs.
There are 2 "out of the box" efficiency KPIs for each state:- Current time in {the state name} –
Average time that the entities are currently in each state.
It looks at how much time has passed from the time the entity entered the state until now.
If no entities are currently in the state - it will be 0.
High numbers means that there are ideas that are "stuck" in the state. - Average time in {the state name} –
Average time all entities were in each state.
It looks at how much time has passed from the time the entity entered the state until it was moved to another state.
It ignores entities that are currently still in the state.Please note that if an entity moves in and out of the same state multiple times (for example, it was in "Discussion" for 5 days, then moved to "Initial Review," and later returned to "Discussion" for another 10 days), this KPI will calculate the average time spent in that state as (5 + 10) / 2.

- Under Select Display Options, choose one or more options Summary, Chart, Table to visualize the data effectively.

- Configure Grouping Options
- To see the times of a specific idea, select Idea (or Company, etc.)
- Alternatively, select any other grouping option you would like to analyze efficiency by, e.g. campaign, idea category, author's country, idea manager etc.

By using these KPIs, you can gain a detailed understanding of how long ideas spend in each state. This insight is important for identifying inefficiencies and streamlining your process.
